Your Event Venue Doesn't Need an AI Department. It Needs an Integration.

·4 min read

The Pitch Nobody's Making

Every week, another vendor pitches "AI for venues." Chatbots for your website. Smart scheduling. Predictive booking.

And every week, venue operators nod politely and go back to the same problem: their data is scattered across five systems that don't talk to each other.

The CRM has guest history. The ERP has billing. The event management platform has bookings. The catering module has menu preferences. The payroll system has staff schedules.

None of them share data. None of them have APIs that were designed with AI in mind. And none of the AI salespeople seem to understand that "just connect it" is the hardest part of the entire problem.

I spent 13 years inside the Ungerboeck/Momentus stack. I built the integrations that connected venue management systems to payment gateways, CRM platforms, and accounting software. I know exactly how messy that data is.

Here's the uncomfortable truth: most venues don't need an AI department. They don't need to hire ML engineers or train custom models.

What They Actually Need

What they need is someone who can:

1. Read the data out of the systems they already have.

Your venue likely runs on 3-7 different software platforms. None of them expose clean APIs. Some don't have APIs at all. Getting the data out — reliably, in a structured format — is 80% of the work.

2. Connect it into something an LLM can understand.

Once you have the data, you need a RAG pipeline. Not a fancy one — a basic one that can answer questions like "Which vendors do we use most often?" or "Show me all the events in Q4 that went over budget." This isn't bleeding-edge research. It's plumbing.

3. Build guardrails so the AI doesn't hallucinate your booking data.

The difference between a demo and production is error handling. An AI that confidently tells a client "Yes, the Grand Ballroom is available on Dec 15" when it's not? That's not just an annoyance — it's a lost contract.

4. Hand off clean code your existing tech team can own.

If you have an IT person or a junior developer maintaining your systems, the AI should come wrapped in documentation and tests they can understand. Not a black box they're afraid to touch.

The Gap

The gap isn't that venues lack AI expertise. It's that they lack integration engineering.

The AI models themselves are commoditized. GPT-4o, Claude, Gemini — pick your flavor. The real value isn't in the model. It's in the pipes that connect your actual venue data to it.

This is exactly the kind of work that doesn't fit neatly into a job posting. You can't hire a "Venue AI Integration Engineer" — that role doesn't exist. And a generalist software engineer won't have the domain knowledge to know what "accounting period close" means in the context of venue booking revenue.

What This Looks Like in Practice

I've been building exactly this kind of pipeline. Here's a concrete example:

A hotel venue runs five systems:

  • A property management system for room bookings
  • An event management platform for banquet/conference bookings
  • A CRM for guest history
  • A payment processor for deposits
  • A spreadsheet-based budget tracker (surprisingly common)

The AI integration layer:

  • Reads booking data from the event platform API
  • Pulls payment status from the processor
  • Cross-references actual vs. projected budget from the spreadsheet
  • Feeds all of it into a structured RAG pipeline
  • Exposes a simple interface: "How did Q3 event revenue compare to our projection?"

No custom LLM training needed. No AI department. Just solid integration engineering.

Why This Matters Now

Google announced Gemini Spark at I/O last week. OpenAI keeps shipping. Claude keeps improving. The models are getting better, cheaper, and faster — DeepSeek Flash costs pennies to run.

The bottleneck has shifted. It's no longer "is the AI good enough?" It's "is your data connected?"

Venues that solve the integration problem first will have a real AI advantage. The ones that wait for the perfect AI product? They'll still be waiting while their data sits in five disconnected systems.

At Samisen AI, we build production AI integrations for venues and event operators. Not prototypes. Not advisory. Clean code that connects your real data to the AI tools that work. If you'd like to talk, I'm at prashant@samisen.ai.
